Annotone Privacy Policy
Effective September 23, 2026
This Privacy Policy explains how DEF Enterprises, LLC d/b/a Standalone Software (“Standalone Software,” “we,” “us,” or “our”) handles personal information through Annotone, getannotone.com, review.getannotone.com, license.standalonesoftware.co, and related support and communications.
1. Local-first operation
Annotone is designed to keep audio on your device. We do not upload your audio files. Notes and take selections ordinarily remain in user-controlled local text files. Information is sent to us only for purchases, licensing and device management, support, website operation, analytics and advertising, or when a user intentionally creates or accesses a guest-review link.
2. Information we collect
- Purchase and license information: purchase email, Stripe checkout or order identifier, purchase and license dates, license status, device name, one-way device hash, activation identifier, activation and revocation history, and license-recovery or sign-in records. Stripe processes payment-card details; we do not receive or store full card numbers.
- Guest-review information: review title, mode, filenames, folder hints, notes, marks, ratings, time ranges, optional externally hosted audio links, access and expiration settings, password hashes, review and response token hashes, reviewer name, response text, and response timestamps.
- Technical and security information: IP address, browser and device information, operating system, requested pages, timestamps, session cookies, referral information, diagnostic information you submit, and hashed identifiers used for rate limiting, fraud prevention, and security.
- Website, analytics, and advertising information: pages viewed, links and buttons used, approximate location derived from IP address, referral or campaign information, cookie and advertising identifiers, and purchase or conversion events. Analytics and advertising providers may collect this information through cookies, pixels, or similar technologies.
- Communications: information you send in support requests, emails, privacy requests, or other communications.
3. How we use information
We use information to process purchases; issue, activate, recover, and protect licenses; enforce the three-active-device limit; provide optional guest reviews; authenticate access; deliver transactional email; provide support; maintain security and prevent fraud or piracy; troubleshoot and improve Annotone; measure site and campaign performance; advertise and retarget Annotone; comply with law; and establish or defend legal claims.
4. Legal bases for European users
Where European or UK data-protection law applies, we process information as necessary to perform our contract with you, comply with legal obligations, and pursue legitimate interests in operating, securing, supporting, improving, and marketing Annotone. We use consent where law requires it, including for non-essential analytics and advertising cookies. You may withdraw consent through available cookie controls without affecting earlier lawful processing.
5. Cookies, analytics, and retargeting
We use essential cookies for security, sessions, license management, and protected reviews. We also use analytics and advertising technologies to understand usage, measure campaigns, and show advertising to people who previously visited our sites. Where required, non-essential technologies are used only after consent.
We do not sell personal information for money. Advertising and analytics providers may nevertheless receive online identifiers and activity information. Some privacy laws call this “sharing,” “targeted advertising,” or a “sale” even when no money is exchanged. Where applicable, you may opt out using our cookie controls or a legally recognized browser opt-out signal such as Global Privacy Control. We do not respond to legacy Do Not Track signals because there is no uniform industry standard for them.
6. When we disclose information
We disclose information only as reasonably necessary to:
- payment processors such as Stripe;
- transactional email providers such as Brevo;
- hosting, infrastructure, security, analytics, and advertising providers;
- professional advisers and contractors bound by appropriate obligations;
- a purchaser or successor in a merger, financing, reorganization, or sale of assets; or
- courts, regulators, law enforcement, or others when required by law or necessary to protect rights, safety, and security.
Guest-review content is disclosed to people who possess the review link and satisfy any password requirement. Review creators control who receives their links. We do not make review links public or index them for search engines.
7. Retention
We retain purchase and licensing records as long as needed to provide and recover a perpetual license, enforce license limits, prevent fraud, meet tax and accounting obligations, and resolve disputes. Transaction records may be retained for at least the legally required accounting period. We retain active guest-review data for the review period selected by its creator. After expiration, revocation, or a valid deletion request, review information may remain for a limited period in security records and backups before deletion or de-identification. Technical logs, rate-limit records, analytics data, and advertising data are retained according to security needs and provider settings. We retain support communications as needed to resolve the request and maintain appropriate business records.
8. Your choices and rights
You may request access to, correction of, or deletion of personal information associated with you by contacting us. Depending on your location, you may also have rights to restrict or object to processing, receive portable information, withdraw consent, opt out of targeted advertising or qualifying sharing, and complain to a data-protection authority. We may verify requests and retain information where permitted for licenses, transactions, security, fraud prevention, legal obligations, or claims.
California residents may request information about collection, use, and disclosure and may request correction or deletion where applicable. We do not discriminate against anyone for exercising a privacy right. We do not knowingly sell personal information. To opt out of targeted advertising or qualifying sharing, use the available cookie controls or contact us.
9. International transfers
Standalone Software is based in the United States, and our providers may process information in the United States and other countries. Where required, we rely on recognized safeguards for restricted transfers, such as adequacy decisions or approved contractual protections.
10. Security
We use administrative, technical, and organizational safeguards appropriate to the nature of the information, including encrypted transport, access controls, hashed credentials or identifiers where appropriate, and limited database permissions. No system is completely secure, and we cannot guarantee absolute security. Protect review links, passwords, purchase credentials, and local files as confidential.
11. Children
Annotone is not directed to children under 13, and we do not knowingly collect their personal information. Purchases and license agreements are limited to adults. Contact us if you believe a child provided personal information improperly.
12. Third-party links and audio
Users may place third-party audio or other links in guest reviews. Those services operate independently and have their own privacy practices. Opening a third-party link may disclose information to its operator. Standalone Software does not receive the linked audio merely because the link appears in a review.
13. Changes
We may update this policy to reflect changes in Annotone, providers, or law. We will post the revised policy with a new effective date and provide additional notice where legally required.
